Duties

Greet patients warmly and verify their appointment details, ensuring a welcoming environment.
Schedule, reschedule, and confirm patient appointments using medical office management software.
Collect and update patient information accurately, including insurance details and medical history.
Coordinate communication between patients and healthcare providers to facilitate smooth care delivery.
Assist patients with understanding treatment plans, billing procedures, and post-visit instructions.
Manage incoming calls, emails, and inquiries promptly while maintaining professionalism and empathy.
Prepare and organize patient records, charts, and documentation in compliance with privacy regulations.
Support clinical staff by handling administrative tasks such as filing, data entry, and inventory management related to medical supplies.
Follow up with patients post-appointment to gather feedback or schedule follow-up visits as needed.
Maintain a clean, organized front office environment that reflects our commitment to excellence in patient care.

Skills

Proven experience working in a medical or dental office setting with strong knowledge of medical terminology.
Excellent communication skills—able to listen actively, convey information clearly, and demonstrate empathy.
Strong organizational abilities with attention to detail for managing multiple tasks efficiently.
Proficiency in medical office software systems and general office equipment such as computers, phones, and printers.
Ability to handle sensitive patient information discreetly in accordance with privacy laws (HIPAA compliance).
Prior experience providing medical administrative support or customer service in healthcare environments is highly desirable.
Knowledge of dental office procedures is a plus but not required.
