Schedule: Part-time (3 days) for 8 months but potential for long term opportunity

Tuesday (8:00-5:00), Wednesday (9:00-6:00), Thursday (8:00-5:00)

We are hiring a long term (8 months +) dental administrative assistant specialize in dental billing and recall. This is a part-time position that will support our practice in Rancho Bernardo, opportunity for full-time once we expand our hours.

Job Summary

We are seeking an organized, detail-oriented, and proactive Dental Billing, Recall, & Front Office Specialist to join our team. Your primary focus will be keeping our practice financially healthy and our schedule full by managing Accounts Receivable (A/R), leading our patient recall system, and verifying insurance eligibility. In your spare time, you will support the front desk by checking in patients and providing a welcoming environment.The ideal candidate has a strong understanding of dental insurance, excellent phone etiquette, and extensive experience utilizing Dentrix to optimize practice workflows.

Core Responsibilities

1. Accounts Receivable (A/R) & Billing (Primary Focus)

Manage the practice’s aging accounts report (30, 60, 90+ days) directly through Dentrix.
Research, troubleshoot, and appeal denied or underpaid insurance claims.
Send out accurate monthly patient statements and post insurance/patient payments.
Make professional, courteous follow-up calls to patients regarding outstanding balances and set up payment plans.

2. Insurance Eligibility & Verification (Primary Focus)

Verify insurance benefits and eligibility for upcoming patients at least 48 hours before their scheduled appointments.
Break down insurance benefits (maximums, deductibles, frequencies, and coverage percentages) and input them accurately into Dentrix.
Communicate out-of-pocket estimates clearly to patients and the clinical team before treatment begins.

3. Patient Recall & Schedule Management (Primary Focus)

Actively manage the Dentrix Continuing Care system to contact patients due for routine cleanings, X-rays, and exams.
Use phone calls, texts, and emails to reactivate overdue or inactive patients.
Strategically fill gaps in the schedule caused by last-minute cancellations to keep the hygiene and doctor chairs productive.

4. Front Desk Support (As-Needed / Spare Time)

Provide back-up front desk coverage during peak check-in hours or administrative down times.
Warmly greet and check in patients upon arrival, verifying and updating their personal, medical history, and insurance info in Dentrix.
Maintain a clean, organized, and welcoming reception area.

Qualifications & Skills

Experience: Minimum of 1–2 years of experience in dental billing, front office coordination, or insurance verification.
Software Required: High proficiency with Dentrix is required.
Knowledge: Strong understanding of dental terminology, ADA codes, coordination of benefits (COB), and insurance claim processes.
Communication: Exceptional phone skills with a warm, confident, and persuasive communication style.
Traits: Highly organized, self-motivated, and comfortable multitasking in a fast-paced environment.
