The Front Desk Coordinator serves as the face of the dental office, ensuring a welcoming, efficient, and professional experience for every patient. This role requires strong communication skills, organizational abilities, and a deep understanding of dental office workflows to coordinate scheduling, insurance verification, patient financials, and treatment plan presentations. Key Responsibilities:
Patient-Facing Duties:

Greet and check in patients warmly, ensuring a positive first impression.

Manage appointment scheduling, confirmations, and follow-ups to maintain an efficient schedule.

Educate patients on their treatment plans, explaining procedures, costs, and payment options in an easy-to-understand manner.

Handle patient concerns with empathy and professionalism, ensuring a high level of patient satisfaction.
Administrative & Front Desk Operations:

Maintain an organized and efficient appointment book, preventing gaps or overbooking.

Answer and manage incoming calls, emails, and messages in a professional and timely manner.

Handle patient check-outs, ensuring accurate billing, payment collection, and follow-up scheduling.

Verify insurance benefits, process claims, and obtain pre-authorizations when necessary.

Maintain and update electronic patient records (EHR), treatment notes, and financial information while ensuring HIPAA compliance.

Ensure that front desk operations run smoothly, including office supplies, patient paperwork, and daily workflow coordination with clinical staff.
Billing & Financial Coordination:

Accurately calculate and collect co-pays, balances, and payment plans at check-out.

Prepare and submit insurance claims, tracking their status to ensure timely reimbursement.

Communicate with insurance providers to verify coverage, deductibles, and out-of-pocket costs for patients.

Assist patients in navigating financing options for larger treatment plans.
Qualifications & Skills:
Required Qualifications:

Minimum of 1 year of dental office experience (or strong experience in a medical front desk role with insurance/billing responsibilities).

Strong knowledge of dental terminology, insurance billing, and scheduling protocols.
