Dr. Ron Fields, Dr. Ken Sellers, and Colleagues of Smile Center Oral & Maxillofacial Oral Surgery are seeking a talented Office Manager to provide the consistent, on-site leadership needed to reach the next level of our growing practice’s potential. Human Resource Management: Overseeing staff performance and coaching, interviewing when we have an opening, and supporting new hires when practice growth sparks the need for more staff. You will oversee staff handbook compliance, organize team meetings, run routine meetings, coordinate time off requests. The Office Manager drives our office harmony, as we know that we are only as amazing as our staff are happy, engaged, and fulfilled.
Reports & Process Improvement: Tracking daily and monthly goals, completing monthly metrics reports to compare with goals, seeking to maximize technology utilization to drive efficiency, inspire reviews, and bolster patient communications. Using your initiative, implement creative ideas determined during Doctor-Manager to spark business growth. We value technology and efficiencies available with our amazing software; help us discover and implement all it can do!
Operations & Patient Management: We are a young practice positioned to grow quickly with the help of your administrative talent. Eventually, we’ll need to add another administrative staff member. Until that time, you’ll work collaboratively with our one front office staff member cross-trained to answer the phone, onboard new patient callers, and manage routine patient processes. Your role (after training) will include meeting with patients in our consultation room to answer further questions about Dr. Keiser’s recommendations, review cost, and schedule their surgery. You’ll oversee, as well as participate directly, in all administrative functions that spark productivity and monies due at the time of service. We have an amazing “behind the scenes” support team for processing insurance claims and billing.
Marketing:Our practice is built by reputation, and dentist referrals build our practice. Our Office Manager will help coordinate projects that express our gratitude, like “thank you” treats to share the love on Valentine’s Day! We enjoy doing those extra, unexpected tokens of gratitude that make the statement that we care for the whole of the patient… not just their teeth! The Manager will also collaborate with Dr. Sellers, Dr. Fields, and Associate Dr. Greg Keiser on marketing initiatives to continue to spark our practice’s growth.
In summary, our Office Manager represents and supports the values and direction expressed by Dr. Sellers, Dr. Fields, and Colleagues. We have an amazing, close-knit team comprised of 1 administrative staff member and 2 dental assistants. It won’t be long until we need to add a team member to both our administrative area and clinical department. However, to grow with excellent communications and efficiency, we need the support of a talented practice manager! It’s the day-to-day support of our Manager that supports our consistent performance and focus to do what we do best…. Taking care of patients!
Dental experience is nice but NOT REQUIRED to apply!
A qualified manager candidate does not need to have prior medical or dental practice management experience to apply (although, that work history is helpful to the learning curve of this position). The following list of criteria is imperative to success:
1. Initiative to dive-right-in: observe, study, ask questions, apply answers, “YouTube” for information, and accelerate your industry training.
2. Minimum 2 years of personnel direct-report supervisory experience within the context of “small business”
3. BS, BA, or MBA from accredited university ideally in Business, Healthcare Administration, Communications or related major. Candidates who do not possess a bachelor’s but whose work experience has provided excellence in education and experience will be considered.
4. Excellent written and verbal communication skills to be able to sensitively and tactfully have the periodic “crucial conversation” intended to correct actions and gain positive results while minimizing or preventing unnecessarily hurt feelings from staff members.
5. Technical aptitude to quickly learn software and lead initiatives to improve internal processes and communications.
6. Quick to build rapport with patients and skillful at de-escalating the rare, but periodic grievance.
7. Demonstrate/model for staff: Professional conduct, superb communication, excellent tracking of details and follow up, and passion for serving others.
8. Preference to juggle many tasks and varied responsibilities with the pleasure of seeing how your efforts directly impact the success of the business, your co-workers, and your professional growth.
9. Stable work history.
10. Calm, approachable temperament with the ability to continue seeing “the big picture” and remain confident when others might be “stressing out.”
Compensation and work hours:
This is a full-time, salaried position, Monday – Friday, with an “early out” on Friday to provide flexibility for life juggling. No weekend hours & no evenings! Salary is $60,000 - $65,000/year, influenced by experience. Come grow with us!
