Contracted Job Summary:
We are seeking a highly organized, warm and friendly Business Office Associate to join our team and there is a growth path within the company. The ideal candidate will be the first point of contact for our patients and will play a key role in ensuring the smooth operation of our practice. This position requires excellent communication, writing skills, attention to detail, general business office management skills and the ability to manage multiple tasks efficiently.
Contracted Job Responsibilities:
- Greeting Patients: Warmly welcome patients upon arrival, verify and update their information, and ensure they are prepared for their appointments.
- Voicemails/Emails and Follow-ups: Retrieve and respond to voicemails/emails promptly, ensuring all inquiries and issues are addressed.
- Incoming Calls: Answer incoming calls, provide information, and route calls to the appropriate staff members as needed.
- Checking In Patients: Confirm appointments and assist patients in completing any necessary forms.
- Checking Out Patients: Manage patient check-out procedures, including processing payments and scheduling follow-up appointments.
- Scheduling: Coordinate and schedule appointments, ensuring optimal use of the dentist’s time and office resources.
- Confirmation Calls: Make confirmation calls to patients for upcoming appointments and handle any rescheduling needs.
- Mail Sorting: Sort and distribute incoming mail and manage outgoing mail as required.
- Prepare internal and outgoing office communication. Must possess business writing/communication skills !
- Records and Documents Organizing and Management and Office filing, Lab Tracking (incoming & outgoing),tracking and ordering Inventory, General scanning and printing, Keeping up with changing of the Seasonal Office decor, Cleanliness and Upkeep of front office, Arranging fun activities for the staff and patients etc.
- Assisting with Forms: Assist patients in completing informed consent forms, NPP (Notice of Privacy Practices), and HIPAA forms etc., ensuring compliance with all regulations.
- Recalls: Manage and Execute recall systems to remind patients of upcoming appointments or the need for follow-up care
Qualification:
- Must be comfortable with using technology and possess advanced computer skills.
- Previous experience in a dental or medical office is preferred.
- Excellent communication and customer service skills.
- Ability to multitask and manage time effectively.
- Proficiency in using dental practice management software is a must have skill.
- Knowledge of HIPAA regulations and patient confidentiality practices.
