Office Manager Employment Descriptions

Position: Office Manager (Cosmetic Dental Practice). This is a full-time, W2 employment position (at-will), responsible for overseeing key operational teams and driving practice growth.

Base Salary: $50,000 per year (paid as regular W-2 wages).

Performance Bonus: Eligible for a $12,500 monthly bonus (totaling up to $100,000/year) based on achieving performance targets. Bonus metrics are tied to Key Performance Indicators (KPIs) which will be outlined during the interview process – the full bonus is awarded for meeting/exceeding quarterly KPI goals, with proportional or discretionary payouts if goals are partially met.

Work Schedule: Minimum 40 hours per week. Schedule may extend into evenings and occasional weekends as needed to meet goals and support events or high-value cases. Flexibility is expected – the role is results-based, meaning the Office Manager ensures targets are met even if it requires hours beyond the standard workweek.

Reporting & Accountability: Reports directly to the practice owner/lead dentist. The Office Manager will collaborate with team leads (Sales/Treatment Coordinator, Ceramics Lab Lead, Lead Assistant, Marketing/Media Coordinator) to implement initiatives and will provide regular progress reports. Employment is at-will (either party can terminate at any time, subject to applicable law).

Responsibilities Summary: In addition to standard administrative duties, the Office Manager’s primary responsibility is to drive performance across departments in alignment with the practice’s growth goals. Key duties include: overseeing daily operations and patient flow; managing and motivating the sales/treatment coordination team to convert consultations into treatment; coordinating with the in-house ceramics lab to ensure quality and timely case delivery; supervising clinical staff (assistants/hygienists) to maintain efficient schedules and excellent patient care; and guiding the marketing/media team to generate leads and enhance the practice’s online presence. The Office Manager is expected to ensure that the practice meets its financial and service targets while upholding a first-class patient experience.
