About CCASA:
The Colorado Coalition Against Sexual Assault (CCASA) is a statewide membership organization that provides leadership, advocacy, and support to address and prevent sexual violence. CCASA was founded in 1984 to be the collective voice of rape crisis advocates across the state of Colorado. Today, our membership includes over 100 sexual assault survivors, victim advocates, rape crisis centers, dual domestic violence and sexual assault programs, college and university campuses, law enforcement agencies, district attorney and judicial district offices, medical professionals, public health and government agencies, offender treatment programs, as well as other organizations and concerned individuals throughout Colorado. As a statewide coalition, CCASA supports our members, partners, and the broader community through training, technical assistance, information and referrals, educational materials, statewide systems change, and public policy education and advocacy.

About the Position:
The Data and Administrative Coordinator performs a variety of critical administrative tasks including data, membership and donor, grant, financial, and general support.
Job Responsibilities:
Data Support
- Review staff activity tracking data entries for accuracy, consistency, and completeness on a monthly basis.
- Follow-up with staff to obtain necessary information/clarification to clean data.
- Provide monthly reports on trends and needs for training staff on data entry and changes to data entry forms and processes to improve data entries for accuracy, consistency, and completeness
- Update data collection policies, processes, forms, and reports, as directed.
Membership & Donor Support
- Fulfill requests for CCASA publications and resources (e.g., brochures, toolkits, public awareness materials, etc.).
- Coordinate the annual Sexual Assault Awareness Month kick-off event, including the nomination and selection of annual CCASA Awardees.
- Coordinate participation in Colorado Denim Day, including assisting with recruiting teams, developing and distributing team participation kits, and providing support to team coordinators.
- Coordinate CCASA’s annual membership meeting.
- Coordinate annual membership renewals.
- Assist with the development, coordination, and implementation of fundraising communications.
- Assist with the coordination & implementation of fundraising events, including outreach to potential sponsors.
- Ensure timely mailing of thank you letters to donors.
- Maintain and update member, partner, and donor information in database.
Financial Support
- Scan bills and provide to accountant on a weekly basis.
- Prepare checks and coordinate with the Executive Director for signature.
- Review staff and partner reimbursement requests for accuracy.
- Assist accountant with preparation for the annual audit.
- Coordinate annual audit for workers compensation insurance.
- Make bank deposits when necessary.
Grant Support
- Review and prepare required grant forms and documents for vendors and contractors.
- Assist with preparing and submitting materials for grant compliance and deliverables approvals.
- Assist with preparation of grant and contract programmatic reports.
General Support
- Collect, open, and distribute mail on a weekly basis; prepare and send mail as needed
- Coordinate the ordering of office supplies.
- Make travel arrangements for staff.
- Prepare materials for board and committee meetings; provide support, such as taking minutes, as requested.
- Assist the Executive Director, as needed.
Other Duties
- Track time and activities and complete required documentation.
- Staff CCASA committees, as assigned.
- Perform other duties as assigned.
Required Qualifications:
- Minimum of 2 years of related professional experience OR post-secondary education in a related field.
- Strong computer and technology skills, including databases, websites, and virtual platforms (e.g., Microsoft Office, Adobe Acrobat and E-Sign, WordPress, Zoom, Canvas).
- Demonstrated understanding of basic financial principles and understanding of financial reports.
Preferred Qualifications:
- Familiarity with Quickbooks.
- Familiarity with federal grants, particularly VAWA grant programs.
Physical Requirements:
Expectations for this position include operating a computer, in-person conversations with organizational partners and members of the community, and spending time on the phone and/or video calls for internal and external communication.
