We are seeking a skilled and experienced office administrator with a strong background in dental office operations and treatment coordination for our growing, highly respectful office in St. Albans, VT.
This position requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will excel in managing administrative tasks while also facilitating the treatment planning and coordination process for our patients.
Office Tasks:
Oversee the day-to-day operations of the dental office.
Ensure smooth workflow by managing schedules, appointments, and patient flow.
Coordinate with staff to maintain a clean, organized, and welcoming environment for patients.
Manage office supplies, equipment, and inventory to ensure adequate stock levels.
Treatment Coordination:
Serve as the primary point of contact for patients regarding treatment plans and financial arrangements.
Explain treatment options, procedures, and associated costs to patients in a clear and concise manner.
Coordinate appointments and consultations between patients and dental specialists as needed.
Work closely with insurance companies to verify coverage and process claims efficiently.
Patient Relations:
Build strong relationships with patients to ensure their satisfaction and trust in our practice.
Address patient inquiries, concerns, and complaints in a professional and empathetic manner.
Follow up with patients post-treatment to ensure their ongoing care and satisfaction.
Financial Management:
Collect and process payments from patients, including copayments, deductibles, and outstanding balances.
Develop and implement strategies to maximize revenue and minimize outstanding accounts receivable.
Prepare financial reports and projections to support business decision-making.
Team Collaboration:
Collaborate with dentists, hygienists, and other staff members to optimize patient care and workflow.
Provide support and guidance to office staff, including training and performance management.
Foster a positive and productive work environment by promoting teamwork and communication.
Qualifications:
Proven experience in dental office management and treatment coordination.
Strong knowledge of dental terminology, procedures, and insurance billing practices.
Excellent communication skills, both verbal and written, with the ability to interact effectively with patients and staff.
Proficiency in dental software systems for scheduling, billing, and electronic health records (EHR).
Exceptional organizational skills and attention to detail.
