Office Manager ( dental)
We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our professional office environment. Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for staff and executives.
- Supervise administrative staff, providing training, guidance, and performance feedback to foster a cohesive team environment.
- Manage vendor relationships by coordinating service providers for office supplies, equipment maintenance, and facility needs.
- Handle bookkeeping and basic accounting tasks using QuickBooks or similar software to maintain accurate financial records.
- Assist with human resources functions such as onboarding new employees, maintaining personnel files, and supporting employee development initiatives.
- Oversee payroll processing to ensure timely and accurate compensation for all staff members.
- Develop and manage office budgets, monitor expenses, and implement cost-saving measures without compromising quality or service.
- Coordinate event planning for meetings, training sessions, or company events to ensure seamless execution.
- Maintain filing systems—both physical and electronic—to ensure easy retrieval of documents while adhering to confidentiality standards.
- Support medical or specialized office management functions if applicable, ensuring compliance with relevant regulations.
- Manage scheduling tasks including appointment setting and calendar management for leadership teams.
- Ensure excellent communication across departments by maintaining high standards of phone etiquette and interpersonal interactions.
- Lead initiatives in training & development to enhance team skills and promote continuous improvement in office procedures.
Qualifications
- Proven experience in office management or administrative roles with supervisory responsibilities.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent communication skills—both verbal and written—to effectively liaise with staff, vendors, and clients.
- Proficiency in QuickBooks for bookkeeping and payroll management; familiarity with other accounting or HR software is a plus.
- Experience with event planning, vendor management, budgeting, filing systems, and calendar management.
- Knowledge of human resources practices including onboarding, employee relations, and compliance standards.
- Hands-on experience managing front desk operations and multi-line phone systems with professionalism and courtesy.
- Ability to supervise a team effectively while fostering a positive work environment focused on development and collaboration.
