**Position Overview:**
As a Records Technician at Hansen Orthodontics, you will be the first point of contact for new patients, playing a crucial role in their initial experience with our practice. You will be responsible for managing and maintaining patient records, ensuring their accuracy and confidentiality. This role involves traveling between our two office locations, so reliable transportation is required. We will provide training for the right candidate, so while previous experience is preferred, it is not required. You will be taking comprehensive records for all new patients and representing our office with professionalism, warmth, and a friendly, approachable personality. **Must have open availability Monday through Wednesday from 7:45 AM to 5:00 PM. The position includes a 90-minute lunch break.**
**Key Responsibilities:**
- Serve as the first point of contact for new patients at both office locations, providing a friendly and welcoming introduction to Hansen Orthodontics.
- Take detailed and accurate records for all new patients, including charting, X-rays, and diagnostic information.
- Scan using our iTero machine for Invisalign cases, ensuring precise and high-quality imaging.
- Maintain and manage patient records, ensuring all documentation is accurate, complete, and up-to-date.
- Assist with retrieving and preparing patient information for appointments and procedures.
- Handle patient information with the highest level of confidentiality and comply with HIPAA regulations.
- Coordinate with orthodontists and staff to ensure seamless communication and record-keeping.
- Process incoming records and requests, including transferring records between practices if needed.
- Perform periodic audits of records to ensure compliance with office policies and standards.
- Travel between two office locations as required; reliable transportation is essential.
- Exhibit a friendly and approachable demeanor in all patient interactions to ensure a positive experience.
- Adapt quickly to a fast-paced environment and manage high-volume patient interactions efficiently.
**Qualifications:**
- High school diploma or equivalent
- Previous experience in medical or dental records management is preferred but not required.
- Experience with iTero or similar scanning technology is a plus, but training will be provided.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills, with a professional and friendly demeanor.
- Ability to handle sensitive information with discretion and confidentiality.
- Familiarity with HIPAA regulations and patient privacy requirements.
- Reliable transportation for traveling between office locations.
- A friendly and approachable personality, essential for creating a welcoming atmosphere for new patients.
- Ability to thrive in a busy, high-volume practice and manage multiple tasks effectively.
