Financial Coordinator – Orthodontic Office (A/R Focused)

We are a busy, well-established orthodontic practice seeking a Financial Coordinator whose primary responsibility is active management of Accounts Receivable, including 30, 60, and 90+ day overdue accounts. This role is mission-critical to the financial health of the practice and requires confidence, consistency, and professionalism in holding patients accountable to their financial agreements.
Position Overview
The Financial Coordinator is responsible for ensuring timely collections, enforcing financial policies, and maintaining clean, current accounts. The ideal candidate is comfortable having firm but respectful financial conversations, follows systems precisely, and takes ownership of A/R performance.
Core Responsibilities (Primary Focus)
- Actively manage Accounts Receivable, with specific responsibility for 30, 60, and 90+ day overdue accounts
- Contact patients regarding overdue balances via phone, text, email, and in-office conversations
- Hold patients accountable to signed financial agreements and payment schedules
- Implement and enforce office financial policies consistently
- Set up, monitor, and adjust payment plans when appropriate
- Collect payments and document all collection activity accurately
- Escalate unresolved accounts according to office protocol
- Maintain accurate and up-to-date financial records in the practice management system
Additional Responsibilities
- Present financial agreements and payment options to patients
- Verify orthodontic insurance benefits and explain coverage clearly
- Submit and track insurance claims and follow up on unpaid claims
- Coordinate closely with the clinical and treatment coordination teams
- Maintain HIPAA compliance and strict financial confidentiality
Required Qualifications
- Minimum 2+ years experience in dental or orthodontic financial coordination (required)
- Demonstrated experience managing A/R and overdue accounts
- Comfortable and confident discussing finances and collections with patients
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Proficiency with dental practice management software
- Professional, calm, and firm demeanor when enforcing financial policies
