Job Overview
We are seeking a dynamic and detail-oriented Dental Office Scheduling Coordinator/Insurance Coordinator to join our vibrant fee for service dental practice. In this role, you will be the vital link between patients, insurance providers, and our clinical team, ensuring smooth appointment scheduling, accurate insurance verification, and seamless administrative support. Your energetic approach will help foster a welcoming environment while maintaining efficient office operations. The ideal candidate will possess strong communication skills, extensive dental and medical administrative experience (3 years minimum), and a passion for delivering exceptional patient service.
Responsibilities
- Manage appointment scheduling using dental practice management software Open Dental , coordinating patient visits efficiently to optimize clinic flow.
- Verify insurance coverage and benefits through systems like Trellis, Care Credit ensuring accurate billing and coding.
- Review and process insurance claims, including CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and dental coding to facilitate timely reimbursements.
- Provide exceptional front desk support by answering multi-line phone systems with professional phone etiquette and assisting patients with intake procedures.
- Maintain comprehensive medical and dental records in accordance with HIPAA regulations, ensuring documentation review and proper filing of medical records.
- Conduct insurance verification and pre-authorizations to streamline patient care plans and reduce claim denials.
- Support medical billing processes by handling collections, posting payments, and managing follow-up on outstanding balances related to Medicare or other insurance plans.
- Assist with office management tasks such as filing, data entry (including 10 key typing), and managing health information systems.
- Collaborate with clinical staff to ensure accurate documentation review, proper ICD-10 coding, and adherence to health information management standards.
Qualifications
- Proven experience in dental office administration (3 years minimum) within a clinical setting.
- Strong knowledge of dental terminology and treatment processes.
- Familiarity with EMR systems: Open Dental is highly preferred.
- Proficiency in Microsoft Office Suite (Word, Excel) along with excellent typing skills (including 10 key typing). Trellis electronic billing , Dexis and Care Credit.
- Exceptional customer service skills combined with professional phone etiquette for handling patient inquiries via multi-line phone systems.
- Ability to review documentation thoroughly while maintaining confidentiality in compliance with HIPAA standards.
- Excellent organizational skills with the ability to multitask in a fast-paced environment; previous clinic or hospital experience is a plus.
