At MDRN MUSE Dental Aesthetics, we’re looking for someone who wants more than just a job, we’re looking for someone who wants to grow into a leadership role within a modern, design-forward dental practice built around confidence and patient experience.
This position will begin at the front of the practice, owning patient communication, scheduling, and daily flow. As you become confident in our systems and patient journey, you will grow into treatment coordination, guiding patients through their care with clarity, trust, and a strong focus on case acceptance. From there, the role will continue to evolve into full office management, where you will help lead the team, optimize operations, and drive the overall success of the practice.

Job Duties
Front Desk Operations (Initial Phase)
- Manage patient check-in and check-out with a warm, elevated experience aligned with MDRN MUSE standards
- Answer phones, texts, and online inquiries with professionalism and efficiency
- Schedule and optimize the daily schedule to support production goals
- Confirm appointments and reduce no-shows through proactive communication
- Ensure all patient forms, consents, and records are completed accurately in CareStack
Insurance & Financial Coordination
- Verify patient insurance eligibility and benefits prior to appointments
- Accurately enter and update insurance information in CareStack
- Present clear, confident financial breakdowns to patients (insurance + out-of-pocket)
- Submit insurance claims and attachments (narratives, x-rays, photos)
- Track and follow up on outstanding claims and aging reports
- Communicate with insurance companies to resolve delays, denials, and breakdown discrepancies
Treatment Coordination (Growth Phase)
- Present treatment plans in a way that builds trust, clarity, and urgency
- Guide patients through their options and help them feel confident moving forward
- Drive case acceptance and same-day treatment opportunities
- Follow up with unscheduled treatment and nurture pending cases
- Coordinate financing options and payment plans when needed
Office Management & Leadership (Advanced Phase)
- Oversee daily front office systems, workflows, and team efficiency
- Train and support front desk team members as the practice grows
- Monitor key performance metrics (production, collections, case acceptance, schedule efficiency)
- Collaborate with the doctor to improve systems, patient flow, and overall growth
- Maintain a high standard of patient experience consistent with the MDRN MUSE brand
- Take ownership of practice operations and contribute to long-term business success
Patient Experience & Brand Alignment
- Deliver a calm, welcoming, and high-end experience for every patient
- Build strong relationships and trust with patients from first contact to treatment completion
- Represent the MDRN MUSE brand with professionalism, confidence, and attention to detail
Requirements
- Proven experience in dental office management with strong supervisory skills (2+ years preferred)
- Extensive knowledge of dental office workflows, including dental terminology, medical records management, and billing procedures
- Proficiency with EMR/EHR systems (We use Carestack)
- Extensive knowledge of dental insurance & fee-for-service operations
- Demonstrated ability in fiscal management, including financial analysis and managing practice finances
- Excellent communication skills for coordinating treatment plans with patients and collaborating with clinical teams
Pay: $30.00 - $35.00 per hour
