Key ResponsibilitiesPractice Leadership & Operations
- Oversee day-to-day operations of the dental office to ensure efficiency, productivity, and exceptional patient care
- Act as the primary leader for front office, clinical coordination, and administrative staff
- Implement, monitor, and continuously improve office systems, workflows, and SOPs
- Ensure smooth coordination between doctors, clinical staff, and front office teams
Team Management & Leadership
- Recruit, train, mentor, and retain high-performing team members
- Conduct regular performance evaluations, coaching, and accountability meetings
- Set clear expectations, enforce policies, and maintain a positive, professional culture
- Lead morning huddles, monthly meetings, and team performance reviews
Scheduling & Production Management
- Optimize provider schedules to maximize production, collections, and chair utilization
- Monitor daily, weekly, and monthly production goals
- Reduce gaps, cancellations, and no-shows through proactive scheduling strategies
- Coordinate doctor schedules, assistants, hygienists, and specialty procedures efficiently
Financial & KPI Oversight
- Track and manage key practice metrics including:
- Production & collections
- Case acceptance
- AR & insurance aging
- Payroll efficiency
- Adjustments & write-offs
- Work closely with ownership to analyze reports and improve profitability
- Ensure accurate posting, billing, and financial reconciliation
Insurance, Billing & Compliance
- Oversee insurance verification, pre-authorizations, billing, and follow-ups
- Ensure timely and accurate claim submissions and appeals
- Maintain compliance with HIPAA, OSHA, infection control, and state dental regulations
- Manage audits, documentation, and regulatory readiness
Patient Experience & Case Acceptance
- Ensure a five-star patient experience from first call to post-treatment follow-up
- Support treatment coordinators in improving case presentation and acceptance
- Handle complex patient situations, escalations, and resolutions professionally
- Monitor reviews, feedback, and patient satisfaction metrics
Vendor & Office Management
- Manage supply ordering, vendor relationships, and cost controls
- Oversee equipment maintenance and office readiness
- Coordinate with labs, marketing partners, and service providers
Required Qualifications
- Minimum 5+ years of dental office management experience (REQUIRED)
- Strong understanding of dental workflows, insurance, billing, and scheduling
- Proven leadership experience managing multi-role dental teams
- Deep knowledge of practice management software (Dentrix, Open Dental, Eaglesoft, etc.)
- Strong financial acumen and comfort with reports, KPIs, and analytics
- Exceptional communication, organization, and problem-solving skills
- Professional, confident, and calm under pressure
