Responsibilities
- Greet patients warmly, check-in and check-out efficiently, and manage patient intake processes with professionalism.
- Schedule appointments using dental office management software (Eaglesoft), ensuring optimal clinic flow.
- Maintain accurate dental and medical records, review documentation for completeness, and ensure compliance with HIPAA regulations.
- Assist dental providers during procedures by preparing instruments, sterilizing equipment, and managing supply inventory.
- Manage multi-line phone systems with excellent phone etiquette; answer inquiries regarding appointment scheduling and insurance questions.
- Perform administrative tasks including filing, data entry (10 key typing), and maintaining organized patient files both digitally and physically.
- Support medical coding activities by applying CPT codes, ICD-10/ICD-9 codes, and understanding care plans to ensure precise documentation.
- Collaborate with team members to review documentation accuracy, support health information management efforts, and uphold confidentiality standards.
- Support Hygienists as needed with patient care, x-rays and follow up.
Experience
- Prior clinic or dental office experience is essential; familiarity with dental terminology and clinical procedures is highly preferred.
- Proven experience with EMR systems such as Eaglesoft is perefered.
- Strong knowledge of medical billing processes including ICD coding (ICD-10/ICD-9), CPT coding, and medical collection procedures.
- Demonstrated ability to handle medical administrative support tasks efficiently while providing excellent patient service.
- Bilingual skills are a plus to effectively communicate with diverse patient populations but not required.
- Office experience with appointment scheduling, and front desk operations is highly valued.
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel) along with familiarity with health information management systems is necessary.
- Excellent organizational skills with attention to detail for documentation review, and maintaining accurate medical records.
- Ability to work in a fast-paced environment while demonstrating professionalism in phone etiquette and customer service.
