Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative functions, maintaining an efficient workspace, and providing exceptional support to staff and visitors alike. Duties

Oversee daily office operations, including managing front desk activities and multi-line phone systems to ensure seamless communication.
Coordinate calendar management, scheduling appointments, meetings, and conference rooms with precision.
Handle all clerical tasks such as data entry, filing, proofreading documents, and maintaining accurate records.
Manage office supplies inventory, place orders as needed, and ensure the workspace remains organized and well-stocked.
Provide exceptional customer service by greeting visitors, answering inquiries, and supporting client interactions with professionalism.
Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports, presentations, and correspondence.
Support bookkeeping activities using QuickBooks or similar software for accurate financial record-keeping.
Assist with personal assistant duties including travel arrangements, calendar management for executives, and task prioritization.
Maintain office equipment maintenance schedules and troubleshoot basic technical issues to minimize downtime.
Uphold phone etiquette standards when handling multi-line systems and customer support calls to ensure positive interactions.

Skills

Proven experience in office management or administrative roles with strong clerical background.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and computer literacy essential for daily tasks.
Strong customer service skills coupled with professional phone etiquette across multi-line phone systems.
Bilingual abilities are highly desirable to support diverse client and staff needs.
Experience with bookkeeping software such as QuickBooks is preferred for financial tasks like invoicing and expense tracking.
Exceptional attention to detail for proofreading documents and data entry accuracy.
Effective time management skills to prioritize tasks effectively throughout the day.
Previous experience in medical or dental reception is a plus but not required; relevant office experience is essential.
