Fast paced oral surgery center seeking an individual who works well both independently and as a team member. Responsible for supporting administrative team members to help ensure a smooth patient experience. This position is the front-line contact point for patients and referring practices and often the first person a patient speaks to when they contact our office. We need someone who is capable of taking accountability for their role and responsibilities and comfortable working autonomously. Maintain awareness of each day’s objectives and provide support to achieve these objectives. Greet patients with value, thanking them for coming to our practice, and acknowledging the referrer. Encourage patients’ testimonials and invitations with value, as well as celebrating milestones and showing appreciation for trusting us with their care.

Job responsibilities:
1. Answer the phone and resolve patients concerns
2. Confirm appointments
3. Support the rest of the admin team as needed with immediate tasks
4. Transfer calls as needed (depending on the situation)
5. Collect information from patients prior to transferring the call to front office coordinator (Demographics, Dental and Medical Insurance, Guarantor, Referrals, X-rays, etc.)
6. Fax documents (coordination letters, and other miscellaneous documents) as needed
7. Send appointment confirmation text messages to patients
8. Send educational videos when confirming appointments (cons/work, consultations)
9. Submit review request to our patients
10. Collect and post payments in person on over the phone, and submit payment link to patient’s email
11. Scan documents as needed
12. Assisting patients with medical and intake forms, and updating patient accounts and personal data
13.Processing patient co-pays, issuing billing statements, and managing accounts receivable
14. Managing secure patient records and ensuring strict compliance with regulations like HIPAA
15.Scheduling appointments, sending confirmations, and managing the daily schedule to ensure optimal workflow
