Call Center Operator and Front Desk Representative
Responsible for timely and successful management of all inbound calls on a multiple-line phone system;
- Greet callers in a friendly, professional manner by exercising active listening and using the appropriate communication scripts, as directed, to handle different topics for patients’ varying needs;
- Transfer calls to the appropriate extensions throughout the practice;
- Understand and strive to meet or exceed call center metrics while providing excellent, consistent customer service
Assist in establishing new patients as they contact the Practice, which includes;
- Collect and process intake information according to company customer service standards;
- Schedule appointments for new patients, with the appropriate provider, ensuring accurate demographic information is entered in practice management software;
- Inform callers of items to bring to their next appointment, to ensure optimal care coordination (i.e., previous dental records, referral information & pertinent medical records, if applicable; copays and appropriate documentation, such as insurance card).
- Remind the callers of the cancellation policy,
Schedule Emergency Patients
- Assist in the scheduling of emergency care patients reported by the emergency on-call service, and record these patients on the appropriate spreadsheet.
Patient related tasks
- Greet patients upon arrival and assist with check in procedure as needed
- Make sure all pertinent information for the patient is current and all necessary forms are complete
- Assist patients with billing and/or insurance questions or refer to appropriate staff member;
- Make patients aware of payment options available and assist them as needed;
- Collect payments from the patient and process payments accordingly;
- Check out patients by posting services and payments for the day’s visit;
- Follow up with patients when pre-treatments are received;
- Scan documents related to the patient (i.e. insurance card, letters, referral slips, etc.) into the computer’s practice management software;
- Address patient complaints when possible or refer to the appropriate staff member or manager for resolution
Scheduling and other tasks
- Keep schedules full by confirming patients, following up on automated appointment confirmation software reports and scheduling additional patients when there are cancellations;
- Call patients who are late for their appointment; fill any holes in the schedule
- Prepare end-of-day reports and deposits
Skills & Requirements
- High school diploma or GED required
- Three or more years of experience as Front Desk or Call Center Representative or similar role;
- Punctuality and dedicated attendance
- Hands on experience with office machines (for example fax, printer etc.);
- Knowledge of general office procedures preferred;
- Sense of ownership and pride in your performance and its impact on the Practice’s success;
- Team player;
- Great interpersonal and verbal communication skills;
- Possess an excellent patient-service orientation;
- Proficient computer skills;
- Possess ability to respect confidential information, financial or personal;
- Ability to remain calm when dealing with difficult people or situations;
- Perform duties with attention to detail;
- Ability to problem-solve.
Additional Skills Preferred
- Experience in the dental field is a plus
- Experience with electronic medical records and patient management systems
- Experience with scheduling for multiple providers
- Knowledge of HIPAA privacy laws
Job Type: Full-time
Pay: $15.00 - $20.00 per hour
