Scheduling Coordinator for Boutique Ortho Practice

At Ferrari Orthodontics we are looking for that "it" person with a positive attitude for our front office. This position requires a patient-focused team player that takes initiative and is inspired to do their best for our patients and the practice. Professional communication skills and the ability to multitask in a very busy environment are a must. This position is essentially the face of our office and requires answering a multi-line phone system, scheduling appointments utilizing orthodontic software (Ortho-2 Edge), welcoming patients and families and developing relationships, and other duties as assigned. Additionally, this is a position that will require marketing skills to create efforts to support a growing practice.

Preferred but not required

Orthodontic or dental office experience
Ortho2-Edge software knowledge
Experience in treatment presentations

Office Duties include:

Schedule and verify appointments for patients in person or on the telephone.
Call new patient referrals.
Prepare letters and correspondences as needed, including referrals to other dental and medical professionals.
Obtain and review patient information via phone, email, and text.
Accurately maintain patient information (including imaging and sleep study reports) in Ortho 2.
Create and audit reports using the Ortho2 software which help to maintain the flow of the practice.
Confirm insurance eligibility, submit claims electronically, resolve insurance issues (i.e. payments that are sent to our office instead of the patient)
Paying bills for the office in a timely manner.
Process paperwork and take new patient payments to start treatment.
Submit FSA reimbursement documents.
Process checks that arrive by mail.
Maintain full schedules and an efficient office schedule flow by scheduling patients immediately after the end of their appointment.
Maintain a full supply of front office products and track them.
File invoices and statements for inventory, laboratory, and miscellaneous purchases.
Answer phones, take messages, perform call backs and appropriately route calls
Collect unpaid balances from patients and contact patients with declined autopayments.
Contribute to marketing efforts and regular team meetings
Working with the doctors to ensure that Invisalign treatment plans are approved in a timely manner for patients' delivery appointments.
Maintain confidentiality of business and patient information.
Knowledge of the clinical side of orthodontics in order to assist patients with questions on the phone, and asking questions to the clinical team as necessary.
Keeping the front area clean before, during, and after patients.
