Job Summary
Cotswold Family Dentistry is seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment.

We are a small, 2 doctor, primarily fee-for-service practice with a close knit team and phenomenal patients. We pride ourselves on our excellent care and building long last relationships with our patients.

This role is vital in coordinating daily activities, managing patients, optimizing the schedule and supporting various departments to foster an efficient and welcoming workplace. The ideal candidate will possess exceptional communication skills, strong organizational abilities, and a proactive approach to problem-solving. As an Office Manager, you will be the cornerstone of our office operations, driving productivity and maintaining a positive work atmosphere.

Responsibilities

As of 5/1/2025, our hours will be 7a-3p Mon-Thurs, every other Fri 7a-12p. You must be present in the office starting at 6:30a.
Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for staff and executives.
Supervise administrative staff, providing training, guidance, and performance feedback to foster a high-performing team.
Coordinate event planning for meetings, company functions, and community outreach initiatives to promote engagement and team cohesion.
Handle bookkeeping duties such as invoicing and filing expenses.
Support human resources functions including onboarding new employees, maintaining personnel files, and assisting with payroll processing.
Manage budgeting processes by monitoring office expenses, preparing reports, and ensuring cost-effective resource allocation.
Maintain organized filing systems and ensure compliance with record retention policies.
Ensure excellent communication across departments by facilitating clear information flow and phone etiquette standards.

Experience

Dental office experience REQUIRED.
Extensive office experience including clerical tasks such as filing, data entry, and front desk responsibilities.
Strong organizational skills with the ability to manage schedules effectively using calendar management tools.
Experience in event planning and budget oversight to support operational efficiency.
Knowledge of human resources procedures including onboarding, training & development initiatives, and employee relations.
Excellent communication skills coupled with professional phone etiquette for interacting with clients, vendors, and team members.
