Position Summary: This is a customer service and clinical support staff position, that is essential to our patients and other staff as front-line reception in our main dental clinic areas. Receptionists are key to patients’ satisfaction with our health center, and to the high standards of care to which we adhere. Direct Supervision Received: Reports to the Dental Operations Manager
Essential Job Functions:
- Greeting and checking-in patients in a polite and courteous manner. Obtaining updated or new paperwork. Notifying the providers that the patient has checked in
- Utilizing the electronic practice management/dental record, Curve, for almost all facets of the position, including scheduling, messaging, assisting patients to register or complete forms, collect insurance co-pays and other payments, check-in and check-out, daily accounting and office functions, etc.
- Scheduling appointments for patients, coordinating with providers and best accommodating the patients’ schedule
- Checking patients in and out, scheduling follow-up appointments, collecting payment for services, and distributing patient education and informational handouts
- Receiving and conveying messages telephonically, in writing, verbally, and electronically
- Rescheduling appointments as needed, due to changes in provider or patient schedules
- Follow-up calls to patients who miss appointments to reschedule
- Assisting with occasional manual filing and locating patient records
- Preparing patient payment batches
- Ensuring that waiting areas are neat and comfortable
- Opening and closing the facility and ensuring that security systems are functional and activated
- Read mandatory internal communications distributed by email or hard copy
- Other related duties as assigned by Supervisor.
Skills & Qualifications:
- Excellent interpersonal and teamwork skills.
- Ability to communicate well and in a caring and supportive manner with individuals of all backgrounds who may be in pain.
- Excellent professional phone etiquette and computer technology/keyboard skills.
- Prior office administration experience
- Experience with Microsoft Office 365 including Teams and Excel strongly preferred
- Experience with an electronic medical record/practice management system strongly preferred
- Must be willing to learn medical/dental/mental health office terminology.
- HIPAA Confidentiality Agreement and Healthcare Compliance training and agreements required upon hire
- All vaccinations must remain current
Working Environment:
This position requires the ability to communicate in a caring and supportive manner with individuals of diverse socio-economic and cultural backgrounds. This position is fast-paced and requires the ability to stay organized and on task juggling multiple competing priorities. It is a sedentary position with prolonged sitting for long periods of time using a computer. At times there may be a need to assist some patients with mobility and lifting.
Education, Licensure & Experience:
Minimum of high school education or equivalency certificate. Prior experience in a medical, mental health, or dental office is strongly preferred.
