The Office Manager is responsible for supporting the team members and creating an environment where our patients feel comfortable. This position requires leadership, customer service, and business knowledge to implement dental practice efficiencies.
Essential duties and responsibilities include:
- Assists team through coaching in areas of patient service, treatment planning, insurance verification, and more.
- Maintains focus on productive scheduling, adequate staffing, ordering supplies, and addressing employee and patient concerns.
- Supports and develops marketing strategies.
- Facilitates resolution of patient relations that are unable to be resolved by the doctor or other staff members.
- Manages practices productivity and profitability, adhering to monthly budgets.
- Reports financial statements and key performance indicators to discuss with regional management.
- Sets goals for performance based on previous performance and mission; designs strategy for meeting the goals.
- Processing of insurance claims including eligibility verification, posting of payments, adjustments, patient refunds, and monitoring of accounts receivable..
- Resolves financial concerns with patients and collects delinquent accounts; may determine specials financial arrangements when appropriate.
- Establishes an inventory control system to assure adequate stocks of supplies are available; plans for periodic audits; negotiates best prices.
- Assist with hiring of employees for practice; provides ongoing feedback to teak members and assist with the annual employee reviews.
- Communicates objectives, motivates staff, builds and maintains morale, maintains core values and standards.
- Promotes cooperative working environment among staff members; understands the value of teamwork; shows enthusiasm and willingness to perform as necessary to help the practice function as a unit.
- Maintains a facility that is visually appealing to patients and staff.
Qualifications:
- Strong leadership and team management skills with the ability to motivate and inspire staff.
- Minimum of 2 years of experience in practice management, preferably dental, but other healthcare is acceptable (medical, vision, etc.)
- Exceptional organizational and multitasking abilities.
- Proficiency in practice management software and Microsoft Office Suite.
- Thorough understanding of billing, coding, and insurance processes.
- Excellent communication and interpersonal skills, with a focus on patient-centered care.
- Bachelor’s degree in healthcare administration, business management, or a related field (preferred but not required).
