Office Manager – Dental Experience Required | Pelham, NY
Full-Time | $30–36 per hour | 35–40 hours/week

Our growing and highly respected dental practice in Pelham, NY is seeking a skilled and experienced Office Manager to lead daily operations and support our commitment to providing exceptional dental experiences.

Key Responsibilities
Office Management & Operations
- Oversee the day-to-day operations of the dental office to ensure a smooth, efficient, and productive environment.
- Build provider schedules aligned with production and collection goals.
- Manage front desk flow, including patient check-in and check-out processes.
- Monitor recall systems and ensure patients are scheduled and followed up appropriately.
- Handle accounts receivable (A/R): collect payments, manage balances, and implement strategies to minimize outstanding A/R.
- Manage insurance claims, post treatments and payments with accuracy, and generate daily, weekly, and monthly reports.
- Maintain inventory, office supplies, and staff schedules.
- Support a clean, organized, and welcoming environment for patients and team members.
Treatment Coordination
- Serve as the main point of contact for patients regarding treatment plans and financial arrangements.
- Present and review treatment plans, follow up on unscheduled treatments, and assist with financing applications.
- Ensure that patients are fully informed, appointments are scheduled, and satisfaction is prioritized at every step.
Team Collaboration
- Work closely with dentists, hygienists, and staff to optimize care and workflow.
- Support, mentor, and guide the office team, including new hire training and performance coaching.
- Promote a positive, team-oriented culture rooted in communication and mutual respect.
Qualifications
- Proven experience in dental office management and treatment coordination is strongly preferred.
- Solid understanding of dental terminology, procedures, insurance billing, and patient care standards.
- Proficiency in dental practice management software, CareStack experience is a plus (but not necessary).
- Exceptional communication and organizational skills, with a keen attention to detail.
- Ability to multitask and thrive in a fast-paced, patient-centered environment.
- High school diploma or equivalent required; certification in dental office management or healthcare admin is a plus.
- Dental Assistant or Dental Hygienist certification is an added advantage.
Schedule & Compensation
- Schedule: Monday to Friday
- Expected Hours: 35–40 hours/week
- Wage: $30–36/hour, commensurate with experience
