Overview
We are seeking a highly organized and experienced Dental Office Manager to oversee the daily operations of our dental practice. The ideal candidate will possess strong leadership skills and a comprehensive understanding of dental office management, including budgeting, managed care, and medical records. They are responsible for the ideal running of the operational systems associated with the front desk, which includes scheduling patients for both doctor(s) and hygiene, presenting treatment, negotiating, and following up with insurance and collections. The Office Manager is also responsible for administrative and team management duties, which includes responsibility for the human resource aspects of the practice, sharing in training, team coaching, and conflict resolution, in addition to monitoring the metrics associated with the expectations of each job role.

Their contributions create a smoothly running, high-morale practice with a happy and productive team. They work closely with patients, the clinical team, and the doctor to facilitate a seamless transition from discussion of treatment to commitment to a financial plan while creating a warm and caring environment with the team. The Office Manager may also be responsible for some internal accounting duties that support the practice’s goals for profitability. The number one responsibility of all employees is patient care and meeting patient needs.

This role is essential in ensuring that our office runs smoothly while providing excellent patient care.

Duties

Manage the overall operations of the dental office, ensuring efficient workflow and high-quality patient service.
Oversee budgeting and fiscal management to maintain financial health of the practice.
Administer the gathering of administrative reports, and training materials for team meetings.
Coordinate with dental staff to ensure compliance with JCAHO standards and other regulatory requirements.
Maintain accurate medical records and oversee patient scheduling to maximize office efficiency.
Implement and manage managed care contracts, ensuring proper billing and reimbursement processes are followed.
Supervise administrative staff, providing training and support as needed to enhance team performance.
Superb verbal skills with patients, insurance companies, third-party companies, doctor, and team
Maintain daily huddle
Supervise and monitor payment plans, credit card submission, unfinished treatment, insurance submission, and coordination of insurance.
• Prepare deposits and reconcile collections daily.
Collaborate with healthcare providers to ensure seamless patient care and communication between departments.
Address patient inquiries and concerns promptly, fostering a positive patient experience.
Oversee staff schedules that support the policies on PTO, vacations, holidays, etc.
Work with doctor and other team leaders on conflict resolution that affects daily operations.
Communicate to the team as a representative of the doctor and the vision of the practice.
Create a safe environment that supports employee development in feedback, counseling, and protecting basic rights.
Oversee the upkeep of the facility and equipment of the practice.
Provide accountability for each team member to fulfill their daily tasks and maximize their admin time.
• Actively participate/oversee in all marketing/social media strategies that reinforce the brand and marketing strategies of the practice.
Actively participate in all recommended continuing educational opportunities to expand your skill set.
Communicate with team members if there are any areas where protocol was not followed.
• Encourage efficient and office-focused use of time and discussions.
Conduct yourself as a self-directed team member.

Experience

Proven experience in a medical or dental office management role is required.
Familiarity with Dentrix, Epic or similar electronic health record systems is preferred.
Strong understanding of budgeting, fiscal management, and managed care processes is essential.
Excellent organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
Strong communication skills, both verbal and written, with the ability to interact effectively with patients and staff alike.
