Our highly respected dental practice in Livonia, NY is seeking a skilled and experienced Office Manager to lead daily operations and support our commitment to providing exceptional dental experience.
The ideal candidate brings strong leadership, a comprehensive understanding of dental office workflows, and a proactive approach to AR management, patient experience, and team development, while ensuring full compliance with OSHA/HIPAA and payer rules.
Key Responsibilities
- Daily Operations: Own schedule management, patient intake/recall, treatment coordination, and end‑of‑day reconciliation; ensure accurate patient records and timely documentation.
- Financial Management: Manage office budgets; oversee billing, collections, and AR aging (insurance & patient); track KPIs and execute action plans.
- Compliance & Records: Maintain HIPAA/OSHA compliance, incident reporting, and audit readiness; ensure accurate clinical/admin notes and document retention.
- Systems & Software: Utilize our practice management system (CareStack) to manage patient information, eligibility/benefits, claims, and reporting; familiarity with Dentrix/Eaglesoft (or similar) is transferable.
- Scheduling & Coordination: Partner with providers to optimize chair time, reduce no‑shows, and support same‑day dentistry; coordinate labs, referrals, and equipment needs.
- Policies & Process Improvement: Implement SOPs that streamline workflows and improve patient satisfaction; lead service‑recovery and feedback loops.
- Communication: Serve as the hub between patients, staff, providers, and leadership to ensure clear expectations and seamless service.
Qualifications & Experience
- Proven experience in dental office management or a similar healthcare leadership role.
- Demonstrated success with scheduling, insurance verification, treatment planning, billing, and collections.
- Prior supervisory experience (hiring, onboarding, coaching, performance feedback).
- Strong grasp of fiscal management (budgeting, reporting) and KPI tracking.
- Tech‑savvy; CareStack experience preferred; Dentrix/Eaglesoft (or similar) welcome.
- Knowledge of medical/dental terminology and payer/managed care processes relevant to dentistry.
- Excellent interpersonal and communication skills; calm under pressure and solutions‑oriented.
Note: Experience in acute care, veterinary, or hospital settings is not required, but operational leadership in fast‑paced, regulated environments can be a plus if skills translate to dentistry.

- Strong command of scheduling, insurance verification, treatment planning, and collections.
- Data‑driven, organized, and comfortable with KPI dashboards and reports.
- Proven ability to coach, delegate, and hold the team accountable while keeping morale high.
- Clear, professional communication with patients, providers, and vendors.
- Tech‑savvy; experience with CareStack (or similar PMS) is a plus.
