Schedule: 40 hours per week, Monday-Friday

Location: Onsite in the Bloomfield Dental Home and offsite at community venues in and around Bloomfield, Newark and Trenton

KinderSmile Oral Health Program (KSOHP) is the flagship program of KinderSmile Foundation. With values of education, intervention and prevention as methods to combat oral health care inequity, KSOHP increases access to dental care for underserved children, regardless of insurance status, by bringing dental care to schools and community centers at no cost to caretakers. In-school visits include oral health education, nutritional counseling, dental exams, Caries Risk Assessment, dental prophylaxis, fluoride treatments, and the application of posterior Silver Diamine Fluoride for caries arrest on existing decay, and prevention on healthy dentition. KSOHP crucially links children to a permanent barrier-free Dental Home at KinderSmile Community Oral Health Centers (KSCOHC) in Bloomfield, Newark, or Trenton.

Position Summary

The KinderSmile Oral Health Program (KSOHP) Coordinator position requires excellent organizational, communication, and interpersonal skills to:

Establish the calendar and schedule of offsite visits to schools and community venues, and coordinate staff and volunteer coverage.
Provide and oversee offsite dental care, community partner engagement meetings, administrative tasks, and data collection.
The KSOHP Coordinator is committed to Public Health Dentistry and to our mission of providing underserved children, perinatal women, and their families with comprehensive dental care and oral health education.
The Coordinator’s primary responsibility is to engage with the community to improve access to oral health education and preventive care for at-risk children in Greater Newark and Greater Trenton, NJ.
The KSOHP Coordinator will support the program’s fiduciary goals by leveraging partnerships, expanding networks, making use of strategic scheduling, attending offsite visits, submitting grants, and securing in-kind support through Give Back a Smile volunteer provider services and donated clinical supplies.
Evaluate and treat all patients with the highest quality of care.

The annual salary range for this position is $145,600-$156,000, depending on experience and qualifications.

Location

The KSOHP Coordinator will work on-site in the Bloomfield Dental Home; and off-site at preschools, schools and community centers, in and around Bloomfield, Newark, Trenton

Position Details

This is a full-time, exempt position:

40 hours per week
Monday to Friday

This position requires flexibility as some off-site visits may begin earlier than 9am. School visits may follow school day hours.

Essential Job Functions

1. Provide dental services at various onsite and offsite locations.

2. Demonstrate excellent fine motor skills and manual dexterity to perform precise, delicate care with applicable dental tools and instruments.

3. Travel between offsite locations.

4. Willingness to work extended hours when needed to support the needs of KinderSmile Foundation.

General

Treat all KinderSmile Oral Health Program (KSOHP) participants with respect, dignity, professionalism, and cultural sensitivity.
Abide by all applicable KinderSmile Foundation protocols including those for OSHA, HIPAA, and Medical Emergencies
Provide direct supervision to the KSOHP Administrative Coordinator, including their daily, weekly, and monthly assignments, and their performance reviews.

KSOHP Set-Up and Overview

Review all KinderSmile Oral Health Program processes and supplies with KSOHP Administrative Coordinator
Meet with KinderSmile Foundation leadership, key personnel, clinical and support staff, and with local stakeholders
Review KSOHP promotional materials and programmatic enrollment materials to obtain a better understanding of the program.
Forge new community partnerships and MOUs with schools and community centers, and maintain updated MOUs with current partners. Maintain the database of community partners applicable to KSOHP.
Follow KSOHP SOP and update, annually or as needed, with any programmatic changes approved by management.
Maintain KSOHP community partner lists and various data collections on Google Sheet spreadsheets, Monday.com Collaborative workspace, and NESS system
Seek Sponsored Alliances following KSF’s standard format
Create and maintain a calendar of biannual visits, striving for a fall time program to contribute to program sustainability
Ensure coverage of providers and support staff (GBAS providers, KSOHP Coordinator, CSLP volunteers, and KSOHP Administrative Coordinator as a backup DA) - coordinate scheduling with CSLP/GBAS Coordinator

Community Engagement

Expand KinderSmile Foundation’s networks of community partnerships, affiliates, and stakeholders through community activities, outreach, and advocacy.
Arrange, schedule and implement:
Off-site visits: Deliver oral health education and preventive care to children in Greater Newark and Greater Trenton, and/or schedule other dental providers for the scheduled visits.
Tabling events, Health Fairs, Career Fairs, HOSA events.
Implement educational sessions for school nurses.
Conduct professional development meetings and program promotion meetings for school nurses or leadership
Garner an oral health champion in each school site in order to increase promotion and participation
Organize or participate in stakeholder meetings (Zoom or in person) with state and managed care organizations and oral health coalitions.
Conduct community outreach and events with affiliates and stakeholders
Use meetings and community engagement opportunities to increase the recognition of KinderSmile Foundation, and raise awareness of oral health as the gateway to total health and wellbeing, and the importance of medical-dental integration

Patient Care

Follow insurance eligibility pre-visit protocols outlined in the KSOHP SOP
Prepare and follow a plan of action for ensuring supplies are inventoried and tracked for all offsite visits, in coordination with KSOHP Administrative Coordinator
Clinical findings are charted in detail, following a given standardization protocol
At KSOHP offsite visits, evaluate and provide (and/or facilitate the evaluation and provision of) care to children with appropriate dental treatment including Nutritional counseling, Dental exams. Caries Risk Assessment, Dental prophylaxis, Fluoride treatments, SDF or other noninvasive treatment modalities , Sealants when appropriate.

Data Collection & Reporting

Maintain thorough and up-to-date data collection and entry in KSOHP spreadsheets for use in grant and Foundation reporting, scheduling children from offsite visits for comprehensive continuity of dental care, analyzing and reporting on program effectiveness, and to seek seek dental public health publication opportunities/
Maintain a clear database and calendar of all community partnerships and engagements

Program Administration

Follow, continue to update, and implement a KSOHP SOP Manual
Include consent forms and MOUs, inclusive of non-surgical treatment modalities such as posterior SDF and ensure compliance with existing and new MOUs when scheduling biannual visits
Ensure compliance and receipt of payments for Sponsored Alliances prior to scheduling biannual or annual visits
Seek grant opportunities to support any and all aspects of KSOHP reaching a goal of one grant per quarter
Prepare monthly KSOHP reports

QUALIFICATIONS

The following are the minimum qualifications needed to successfully perform the duties and responsibilities of this position.

Education

Graduation from a licensed Dental School.

Credentials

Valid NJ Dentist license.
Current malpractice liability insurance.
Current BLS or CPR certification.
Valid DEA and CDS licenses (may be waived).

Experience

Previous experience in a dental office working with pediatric patients.
Technical Proficiency
Familiarity with dental software and electronic health records.

Special Working Conditions

Variable Schedule: the role may require working in different locations on various days of the week, depending on the scheduling of offsite visits, meetings, and community activities.
Exposure to Dental Environment: the KSOHP Coordinator may be in close physical proximity or contact with patients when providing dental care
COVID-19 and Universal Precautions: the employee is responsible for the appropriate use and handling of personal protective equipment (PPE)
Multitasking: the role involves managing multiple projects, assignments, activities, and tasks simultaneously

Physical Requirements

The physical requirements for the KSOHP Coordinator typically include the ability to stand or sit for extended periods. When treating dental patients (offsite or onsite), the KSOHP Coordinator must possess fine motor skills and manual dexterity to perform precise, delicate tasks while using various dental tools and instruments. They may also need to bend, reach, and twist in order to access different areas of a patient's mouth, requiring good flexibility and overall physical fitness. Good vision and hand eye coordination are essential for performing accurate and effective dental treatments.
