Position Summary
As our Dental Receptionist, you’ll be the friendly face patients see when they first arrive. You’ll help ensure the front desk runs smoothly, greeting patients, managing appointments and insurance, updating records, and helping patients feel at ease.
What You’ll Do (Key Responsibilities)
- Welcome patients with a warm smile and friendly attitude when they arrive.
- Manage front desk operations and ensure a smooth flow, check-ins, check-outs, appointment scheduling and confirmations.
- Verify patient insurance eligibility and dental benefits; help patients understand co-pays or payment responsibilities.
- Submit dental claims and pre-authorizations promptly and accurately.
- Attach required documentation (X-rays, perio charting, narratives) to reduce denials.
- Track outstanding claims and follow up on delayed or unpaid claims.
- Maintain and update patient records accurately and securely (HIPAA compliance).
- Answer and handle multiple phone lines in a professional, courteous manner, scheduling, questions, or concerns.
- Provide outstanding customer service: address patient questions or needs, help them feel comfortable, handle any issues with empathy and tact.
- Work collaboratively with the dental team to keep the front office running efficiently and ensure great patient experiences.
Who We’re Looking For
- A friendly, bubbly, and professional demeanor, genuinely enjoy interacting with people and putting them at ease.
- Excellent communication and customer service skills, able to listen attentively, explain clearly, and respond with empathy.
- Comfortable with basic math for co-pays or insurance breakdowns.
- Proficient with Microsoft Office and multi-line phone systems (or similar), and comfortable learning or using dental office software (Open dental).
- Familiarity with dental office procedures and HIPAA privacy requirements.
- Previous experience in a dental office.
- Bonus (preferred): Experience with Open Dental software and ability to speak Spanish is a big plus.
