Your New Role:

As Receptionist/Client Services Coordinator, you’ll be the first touchpoint for every client – you’ll set the tone, build the trust, and bring the perfect balance of high-energy hospitality and thoughtful follow-through.

As Receptionist/Client Services Coordinator, you’ll be responsible for greeting clients with enthusiasm, managing calls and texts with quick follow-through, and coordinating appointment scheduling. You’ll guide each visitor through a seamless experience, from check-in to check-out, while coordinating closely with providers to keep the day flowing smoothly. Your day-to-day will include tracking communication touchpoints, turning inquiries into appointments, and managing essential administrative tasks like data entry, record-keeping, spreadsheets, and light billing support. You’ll also be tasked with reaching out to leads and existing clients to support rebooking, consultations, and continued engagement.

Success in this role requires someone who communicates clearly and maintains grace under pressure. Someone with a strict eye for detail and immaculate follow-up skills. If you’re professional, positive, and able to juggle tasks independently while staying coordinated with a collaborative team, you may be just the candidate our client is looking for! A background in health, wellness or hospitality is a plus – but strong customer service skills and integrity matter most.

This is a fully on-site role where you’ll work 36 hours a week at our client’s beautiful NW Portland clinic.
