We are seeking a highly organized, motivated, and personable Office Manager / Treatment Coordinator Hybrid to help lead daily operations and guide patients through their treatment journey.

Key ResponsibilitiesOffice Operations Management
- Oversee and manage daily office operations to ensure smooth, efficient workflow
- Implement and maintain office systems, policies, and operational standards
- Ensure compliance with internal protocols and healthcare regulations
- Manage office inventory, supplies, and equipment to maintain full operational readiness
Staff Leadership & Team Development
- Lead, support, and motivate the administrative and patient coordination team
- Assist with hiring, training, and onboarding new team members
- Coordinate team schedules and optimize staff productivity
- Foster a professional, accountable, and patient-focused team culture
Financial Coordination
- Support office financial performance through treatment coordination and case acceptance
- Assist with patient financing, insurance processing, and billing oversight
- Monitor patient accounts and ensure financial clarity and transparency
- Collaborate with leadership to track KPIs and achieve production and collection goals
Patient Experience
- Serve as a primary point of contact for patients throughout their treatment journey
- Guide patients through treatment plans, financing options, and scheduling
- Maintain a welcoming and professional environment focused on trust and comfort
- Address patient questions or concerns with professionalism and care
Technology & Records Management
- Maintain accurate patient records in compliance with HIPAA regulations
- Manage scheduling systems to optimize patient flow and provider productivity
- Utilize practice management software to maintain accurate reporting
Qualifications
- 3–5+ years of dental office management or treatment coordination experience
- Experience in dental implants, oral surgery, or specialty dentistry preferred
- Strong leadership, organizational, and problem-solving skills
- Excellent communication and patient relationship abilities
- Experience in treatment presentation, financing, and case acceptance
- Proficiency with dental software and office systems
- Detail-oriented with strong multitasking ability
- Bilingual (Spanish, Russian, or Chinese) is a plus
