Job Summary
We are seeking a dynamic and highly organized Treatment Coordinator/Office Manager to lead our healthcare practice with enthusiasm and precision. - Oversee daily office operations, including scheduling, patient intake, and administrative support to ensure smooth clinic functions
- Coordinate treatment plans between patients and healthcare providers, explaining procedures, financial options, and follow-up steps clearly and confidently
- Manage medical records, billing processes, and insurance claims using EMR (Electronic Medical Records) systems such as Dentrix or eClinicalWorks to ensure accuracy and compliance with HIPAA standards
- Supervise staff members, including receptionists, medical assistants, and other administrative personnel, fostering a collaborative team environment
- Handle fiscal management tasks such as budgeting, financial reporting, and managing practice expenses to optimize profitability
- Ensure compliance with healthcare regulations like JCAHO standards, HIPAA privacy rules, and managed care requirements
- Support human resources functions including hiring, training, performance evaluations, and maintaining employee records
- Utilize practice management software like Epic or Eaglesoft to streamline operations and improve patient flow
- Collaborate with clinical staff to facilitate acute care or hospital experience when necessary for patient treatment plans
- Maintain high standards of medical administrative support by overseeing medical terminology accuracy, medical records management, and documentation quality
Experience
- Proven experience in medical office management within a healthcare setting such as dental clinics or medical practices
- Demonstrated supervisory experience leading teams in a busy clinic environment
- Extensive knowledge of EMR/EHR systems including Eaglesoft, Dentrix, eClinicalWorks or Epic software platforms
- Strong background in fiscal management including budgeting and financial oversight within a healthcare context
- Familiarity with HIPAA regulations, medical terminology, and medical records management practices
- Prior experience in dental office or healthcare management roles preferred but not required; veterinary or hospital experience is also advantageous
- Excellent organizational skills with the ability to multitask efficiently in high-pressure situations
- Knowledge of managed care processes and utilization management procedures is highly desirable
