We’re a patient-focused dental office looking for a Patient
Care Coordinator who’s ready to be the heartbeat of our
practice. This isn’t just answering phones and scheduling
appointments (though you’ll do that too). It’s about
creating a seamless, welcoming experience for every
patient while learning the inner workings of a successful
dental office—and, if you want it, growing into a
leadership role.
What You’ll Do
Greet and connect with patients—be the friendly face that
sets the tone
Schedule appointments and keep the day flowing
efficiently
Learn dental terminology, procedures, and treatment
workflows
Communicate with other dental offices and specialists
Handle patient questions, payments, and insurance
coordination
Keep things organized behind the scenes so the clinical
team can focus on care
Management Responsibilities:
Insurance processing, collections and follow-ups
Overseeing front office systems and processes
Taking on leadership in daily operations

Overview
We are seeking a dynamic and highly organized Dental Practice Manager to lead the daily operations of a busy dental clinic. This energetic role requires a proactive leader who thrives in a fast-paced healthcare environment, ensuring seamless practice management, exceptional patient care, and efficient administrative processes. The ideal candidate will bring a passion for healthcare management, strong leadership skills, and expertise in dental office operations to foster a welcoming atmosphere for both staff and patients. As the driving force behind the practice’s success, you will oversee financial management, staff supervision, compliance with healthcare regulations, and the implementation of best practices to elevate the patient experience.
Duties
- Oversee all aspects of dental practice operations, including patient scheduling, billing, and administrative workflows to ensure smooth daily functions
- Manage fiscal responsibilities such as budgeting, financial reporting, and expense control to optimize profitability and resource allocation
- Supervise clinical and administrative staff, providing leadership, training, and performance evaluations to foster a motivated team environment
- Ensure compliance with healthcare regulations including HIPAA (Health Insurance Portability and Accountability Act), JCAHO (Joint Commission on Accreditation of Healthcare Organizations), and OSHA standards
- Utilize dental practice management software such as Eaglesoft or Dentrix to schedule appointments, manage electronic health records (EHR systems), and streamline documentation processes
- Coordinate with medical professionals for integrated care delivery, including acute care and managed care services
- Implement policies for medical records management, medical administrative support, and medical terminology accuracy to uphold high standards of patient safety and confidentiality
- Monitor clinic performance metrics related to utilization management, billing accuracy, and patient satisfaction to drive continuous improvement
Qualifications
- Proven experience in dental office management or healthcare administration with a strong understanding of dental clinic operations
- Demonstrated supervisory experience leading teams within medical or dental settings
- Proficiency in dental practice management software such as Eaglesoft or Dentrix; familiarity with EMR (Electronic Medical Records) systems like Epic or eClinicalWorks is highly desirable
- Knowledge of fiscal management including budgeting, financial analysis, and resource planning
- Strong understanding of healthcare regulations including HIPAA compliance and JCAHO standards
- Excellent communication skills with the ability to train staff effectively and foster positive patient interactions
- Background in medical terminology, medical records management, and medical administrative support is preferred
- Experience with office management tasks such as human resources functions, staffing coordination, and policy development is essential
- Ability to adapt quickly in a fast-paced environment while maintaining attention to detail in clinical and administrative processes
