Position Summary
We are seeking an experienced, professional, and patient-focused Front Desk / Patient Care Coordinator to join our dental practice. This role is essential to delivering excellent patient experiences, maintaining efficient scheduling, and supporting clinical and administrative operations. The ideal candidate has prior dental office experience, strong communication skills, and a solid understanding of dental insurance and claims processing.
Key Responsibilities
Patient Scheduling & Communication
- Schedule and confirm patient appointments accurately and efficiently
- Coordinate and schedule follow-up visits for incomplete or pending treatments
- Return missed calls promptly and respond to patient messages in a professional and courteous manner
Insurance & Financial Coordination
- Submit, track, and ensure approval of all pre-authorizations prior to treatment
- Send dental claims to insurance carriers accurately and in a timely manner
- Assist with treatment plan presentations, including explaining insurance benefits and patient financial responsibilities
- Set up and manage patient payment plans as directed
Administrative Duties
- Scan and upload all patient documentation and records by the end of each business day
- Maintain organized and accurate patient files in the practice management system
- Assist with general office tasks and support team members as requested by the Office Manager
Marketing & Practice Support
- Participate in practice marketing initiatives and patient outreach efforts
- Support front office workflows to ensure smooth daily operations
Qualifications & Requirements
- Minimum 2 years of experience in a dental office front desk or administrative role
- Working knowledge of dental insurance, including claims submission and pre-authorizations
- Proficiency with dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental, or similar)
- Spanish-speaking preferred
- Strong organizational, multitasking, and time-management skills
- Excellent verbal and written communication skills
- Professional demeanor with a strong commitment to patient service
Preferred Skills
- Experience presenting treatment plans and discussing financial options with patients
- Familiarity with dental terminology and procedures
- Ability to work independently and collaboratively in a fast-paced environment
