Office Manager – High-End Smile Enhancement Practice

Location: Chicago, IL (On-site)

Compensation: $75,000 – $85,000 salary (DOE) + bonus structure

About Us

We’re a fast-growing smile enhancement practice in Chicago serving patients who care deeply about how they look and feel. We deliver premium, life-changing results and a true 5-star experience from the first phone call to the final follow-up. We’re looking for an Office Manager who treats operations like a sport: you own the scoreboard, build the systems, and make sure patients and staff are taken care of every single day.

The Role

This is the operational backbone of the practice, not a “just answer phones” job. You will:

Lead, coach, and schedule the front office / patient care team
Own the daily schedule to maximize productivity and minimize downtime
Oversee patient check-in, check-out, and payment collection with accuracy and warmth
Track key metrics (show rates, case acceptance, collections, reviews) and report to leadership
Improve and document office processes so things run smoother each month than the last
Coordinate with clinical staff to keep the day on time and patients feeling cared for
Handle escalated patient concerns with professionalism and empathy
Manage vendors, supplies, and basic facility needs

You’re a Great Fit If You…

Have 3+ years in office/practice management (medical, dental, or aesthetics preferred)
Love organizing people, processes, and details
Are comfortable with numbers, KPIs, and making decisions from data
Communicate clearly and directly, while staying warm and patient-focused
Can hold people accountable and still be respected and liked
Thrive in a fast-paced, patient-facing environment and stay calm under pressure

What We Offer

Competitive salary: $75,000 – $85,000 based on experience
Performance-based bonus structure
Health insurance
401(k)
Paid Time Off (PTO) and paid holidays
A clear role, strong leadership support, and room to grow as the practice expands
A mission-driven team that genuinely changes how people see themselves
