Director of Dental Operations – Growth-Oriented Dental Practice

Hamilton Family Dentistry is seeking an exceptional Director of Dental Operations to help lead our organization through its next stage of growth. We are a well established office that is growing!

We are entering an exciting period of expansion, including relocating to a brand-new, expanded office. As our practice, team, and capacity grow, we are looking for a strong operational leader who can help us successfully make that transition and build the people, systems, accountability, and infrastructure needed for our next chapter.

This is not a traditional dental office manager position.

We are looking for a leader who can think beyond the day-to-day—to lead people, manage performance, improve systems, drive accountability, understand the numbers behind the business, and turn the owner's vision into execution.

Dental experience is preferred, but exceptional leadership and operational experience are more important. We are open to outstanding candidates from healthcare, hospitality, retail, professional services, or other high-performing, service-oriented organizations.

The Opportunity

The Director of Dental Operations will work directly with the owner and serve as a key operational leader within the practice.

Your responsibility will be to help translate the vision and goals of the organization into people, systems, metrics, and execution.

With our upcoming relocation and expansion, you will play an important role in preparing the organization for growth and ensuring that our larger practice operates efficiently and successfully.

You will oversee team development, operational performance, accountability, systems, and key practice metrics while identifying and solving the problems that prevent the organization from reaching its goals.

We are not looking for someone who simply reports problems to the owner.

We are looking for someone who takes ownership of solving them.

Leadership & Team Development

Lead, coach, and develop a growing team
Build a strong leadership and accountability structure throughout the practice
Establish clear expectations, responsibilities, and performance standards
Conduct meaningful one-on-one meetings and performance conversations
Identify performance issues early and address them directly and professionally
Recruit, interview, onboard, and develop exceptional team members
Identify and develop future leaders within the organization
Ensure managers and team leads are effectively leading their departments
Improve communication and collaboration between the clinical and administrative teams
Build a positive, high-performing, team-first culture
Help employees understand how their individual performance contributes to the success of the organization
Ensure our core values are reflected in how the team communicates, performs, and makes decisions

Operations & Practice Growth

Oversee the day-to-day operational performance of the practice
Translate organizational goals into actionable plans and measurable outcomes
Identify operational bottlenecks and implement solutions
Improve workflows, systems, and organizational efficiency
Build scalable systems that support continued growth
Lead operational projects from planning through implementation
Partner directly with the owner on strategic initiatives and practice growth
Help lead the operational transition into our new, expanded office
Anticipate staffing, systems, workflow, and training needs associated with expansion
Improve the patient experience from first contact through ongoing care
Ensure changes are implemented successfully—not simply discussed

Performance, KPIs & Accountability

This position is expected to understand and manage the numbers behind the business.

You will monitor key performance indicators, identify areas that are not meeting expectations, determine the underlying causes, and lead the team toward improvement.

Key areas may include:

Practice production and collections
Doctor and hygiene schedule utilization
Team productivity and labor efficiency
New patient conversion
Treatment acceptance
Patient retention and reappointment
Phone performance and conversion
Accounts receivable and collections
Scheduling efficiency
Operational efficiency
Patient experience
Team performance and accountability

Success in this role isn't simply knowing the numbers.

It is knowing what to do when the numbers aren't where they need to be.

Systems & Administrative Oversight

The Director of Dental Operations will ensure that the essential systems of the practice operate consistently and effectively, including:

Scheduling systems and optimization
Insurance and accounts receivable oversight
Patient communication systems
Vendor management
Office policies and protocols
Employee onboarding and training
Performance management systems
Project management
Systems documentation and implementation
Operational reporting and KPI tracking

The goal is not for the Director to personally perform every administrative function.

The goal is to make sure the right people, systems, and accountability are in place so that those functions are performed exceptionally well.

Experience We're Looking ForRequired

3+ years of leadership, management, or operations experience
Significant experience directly managing and developing a team
Experience holding employees and leaders accountable for performance
Demonstrated success improving processes, performance, or business operations
Strong communication and conflict-resolution skills
Strong organizational and project-management abilities
Comfort working with KPIs, financial metrics, and performance data
Demonstrated ability to take projects and initiatives from idea through execution

Preferred, But Not Required

Dental or healthcare operations experience
Experience managing a multi-department organization
Experience overseeing managers or team leads
Knowledge of dental scheduling, insurance, billing, and accounts receivable
Open Dental experience
Experience in a growing small or mid-sized business
Experience helping an organization scale, expand, relocate, or navigate significant operational change

We are willing to teach dentistry to the right leader. Leadership, ownership, judgment, and accountability are much harder to teach.
