Lead the Front Office That Keeps the Practice Running
Creekside Dental is a doctor-owned general dentistry practice in Spanish Fork, Utah, built on one belief: great patient care starts with a great team. We are hiring a leader first and an administrator second — someone who sets the standard at the front desk, keeps the schedule full, and holds the team accountable.
This is not a front-desk-plus role. You will run the business side of the practice so Dr. Erekson can focus on dentistry. We are adding an associate and expanding our hours, and we need the right person up front to make that growth work.
What You’ll OwnTeam Leadership
- Lead, coach, and develop the front office and clinical support team. Every person knows their role, their goals, how success is measured, and where they stand.
- Build a culture of trust and accountability. Run a structured weekly huddle with the front office and clinical leads and a monthly meeting with Dr. Erekson to keep the team aligned and moving forward.
- Recruit, onboard, and train new team members — including the additional front office hire that comes with our associate — so the practice never depends on a single person.
- Serve as the first stop for team concerns. Coach before you correct and own the progressive discipline process, from documented coaching through written warnings, partnering with Dr. Erekson on final decisions.
- Be the calm in the room. When the schedule falls apart or a patient is upset, the team looks to you for steadiness and a plan.
Performance & Accountability
- Set measurable goals for every position and hold the team — and yourself — to them.
- Track key practice metrics in Dental Intel (production, collections, schedule utilization, hygiene reappointment, treatment acceptance, new patients) and turn the numbers into action.
- Lead performance reviews and development plans that help each team member improve and advance.
- Own the systems and protocols that keep the office consistent and make sure they are followed.
Operations & Financials
- Oversee daily operations: provider and team scheduling, patient flow, front office check-in and check-out, hygiene scheduling and reappointment, and accounts receivable.
- Keep the doctor and hygiene columns full. Own the recall and unscheduled-treatment lists, confirm appointments, and fill same-day openings so no chair sits empty.
- Review daily financials and end-of-day reports so Dr. Erekson always knows where the practice stands.
- Track remaining insurance benefits by patient so patients can use what they have and complete treatment, and coordinate with our outsourced insurance and billing partner so claims and payments stay current.
- Take the paperwork off the doctor’s desk: vendor and supplier forms, payroll, HR documentation, and correspondence. Manage payroll, budget, vendors, and supply ordering in partnership with Dr. Erekson.
- Become the in-house Dentrix expert. Audit schedules, ledgers, and chart notes daily, catch errors before they become problems, and hold the team accountable for correcting their own work.
- Manage patient communication through Weave — confirmations, recall, reviews, and two-way texting — so every patient gets a timely, professional response.
- Ensure compliance with OSHA, HIPAA, and Utah dental board requirements.
- Deliver an outstanding patient experience from first phone call to final follow-up.
Who We’re Looking For
- 3+ years of leadership experience in a dental or medical practice (dental office management strongly preferred), with a track record of building strong teams: low turnover, people you’ve promoted, or a team you turned around.
- Clear, fair, and consistent. You lead by example with high standards, strong follow-through, and a solutions-first presence when things get busy.
- Strong knowledge of dental scheduling, insurance, billing, and payroll. Dentrix experience strongly preferred; Weave and Dental Intel a plus.
- Detail-oriented and data-driven; you notice what others miss and use the numbers to coach the team.
- Excellent written and verbal communication skills. Bilingual English/Spanish is a plus; we serve a growing Spanish-speaking patient community.
- Available full-time, Monday–Thursday 8:00 a.m.–5:00 p.m. and Friday 8:00 a.m.–2:00 p.m.
