*TRAVEL IS MANDATORY. A typical schedule would be working in 2-3 different offices each each. We have offices in:

Rancho Cordova (4 days/week)
Elk Grove (2 days/week)
Placerville (1 day/week)
Dixon (1 day/week)
West Roseville (1 day/week)

Position Summary:

Demonstrate complete responsibility for the implementation of documented scheduling systems in order to meet practice production goals. Take full responsibility for scheduling all appointments and establishing rapport with patients, fellow team members and members of the community. You will handle interruptions and complex situations with a positive attitude. You will also demonstrate exceptional interpersonal skills with patients and other staff members, on the telephone and in person. You will write legibly and speak clearly. Above all, you will manage the schedule for practice efficiency and follow established scheduling policies.

Primary Duties:

Verbally greet patients in a warm and friendly manner
Master the use of the computer scheduling system
Review the schedule each morning to ensure the day is set up to flow smoothly
Work with the clinical team to identify appropriate gaps for scheduling emergency patients
Schedule patient appointments following documented scheduling policies
Utilize effective scripts for all patient interactions
Notify chairside assistants or clinical coordinator of changes occurring in the schedule throughout the workday
Coordinate with Financial Coordinator to identify patients owing initial or delinquent payments
Maintain updated patient information in each patient record
Answer telephone calls and respond to inquiries professionally and with outstanding customer service
Communicate with patients regarding missed appointments, schedule changes or any other issues that are related to the schedule
Follow-up on all missed appointments and fill canceled appointments
Organize and maintain all electronic filing systems for quick retrieval of information
Maintain production statistics daily, monthly, and yearly
Gather appropriate information for Daily Business Meetings and Monthly Business Reviews and disseminate to appropriate staff
Assist with the implementation of practice marketing strategies such as asking for referrals and testimonials
Perform other tasks as assigned by the office manager and doctor(s)

Desired Skills:

Minimum of 2 years office work experience required, dental setting preferred
Answering telephones
Scheduling appointments
Professional and upbeat speaking voice
Knowledge of orthodontic dental procedures preferred
Experience utilizing practice management software
Basic office receptionist skills (knowledge of Microsoft Word and Excel)
Typing skills: minimum of 35 WPM
Bilingual Required: Fluency in English and Spanish

Working Conditions:

Must be able to withstand the stress and demands of an active dental practice

Shift Hours:

Full Time: 40 hours per week
Monday – Friday, with participation in 1-2 community events per year on a Saturday/Sunday
Travel is mandatory (office locations are Rancho Cordova, Elk Grove, Dixon, Placerville, and Roseville)
