Position Overview
We are seeking a highly organized and proactive Dental Office Manager to oversee the daily operations of our two dental offices in Miami with 5 receptionists, 5 dental assistants, 4 hygienists. This role is crucial to ensuring administrative efficiency, patient satisfaction, and compliance with internal processes. The ideal candidate will be a strong leader with experience in personnel management, financial oversight, and process improvement.
Key Responsibilities
Personnel & Office Management
- Recruit, hire, train, and onboard new team members.
- Manage staff schedules, monitor attendance, and handle performance evaluations.
- Address staff complaints, conflicts, and terminations as needed.
- Assess, refine, and propose improvements to operational workflows.
- Ensure compliance with OSHA, HIPAA, and other healthcare regulations.
- Maintain a positive, professional work environment that fosters teamwork and productivity.
Financial & Administrative Management
- Manage accounts payable, including regular utility payments (electricity, water, rent, insurance, etc.).
- Oversee patient billing, collections, and insurance claim processing.
- Maintain financial records, track expenses, and optimize budget efficiency.
- Analyze financial reports to identify cost-saving opportunities and revenue growth strategies.
Inventory & Supplier Management
- Track and manage inventory levels for dental materials, office supplies, and equipment.
- Coordinate purchases and negotiate contracts with suppliers and vendors.
- Ensure timely restocking of materials to prevent operational disruptions.
Patient Experience & Customer Service
- Supervise front desk operations to ensure efficient patient scheduling and check-ins.
- Address and resolve patient concerns or complaints professionally.
- Implement strategies to enhance patient retention and satisfaction.
- Oversee treatment plan coordination and ensure financial discussions are handled appropriately.
Operational Oversight
- Monitor and improve office workflows to enhance efficiency and service quality.
- Ensure proper maintenance and cleanliness of both office locations.
- Coordinate IT and equipment maintenance, including dental software and hardware support.
- Implement marketing initiatives, including patient referral programs and online presence management.
Required Qualifications & Experience
· 5-7 years of experience in dental or medical office management.
· Strong leadership, problem-solving, and decision-making skills. Ability to recruit, train, and lead a high-performing dental team.
· Proficiency in dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental).
· Experience in budgeting, billing, insurance claims, and expense tracking.
· Experience with Quickbooks and Excell.
· Familiarity with insurance billing, claims processing, and regulatory compliance.
· Excellent organizational, multitasking, and customer service skills.
· Strong skills in workflow optimization and daily clinic operations.
· Proficiency in tracking, ordering, and negotiating dental supplies and vendor contracts.
· Knowledge of HIPAA, OSHA, and infection control regulations to ensure compliance.
· Fluency in English and Spanish to effectively communicate with staff and patients.
Job Type: Full-time
Pay: $60,000.00 - $80,000.00 per year
