Job Summary
We are seeking a highly organized and dynamic Dental Office Manager/Treatment Coordinator to lead our dental practice operations and enhance patient care experiences. The ideal candidate will possess extensive medical office management skills, including proficiency with electronic health record (EHR) systems such as Eaglesoft and Dentrix, along with strong leadership capabilities. This role involves overseeing daily administrative functions, coordinating treatment plans, and ensuring compliance with healthcare regulations. The successful candidate will be instrumental in fostering a welcoming environment while managing financial and human resources effectively to support the practice’s growth and excellence.
Duties
- Manage the overall operations of the dental office, including scheduling, patient flow, and administrative workflows to ensure efficiency and high-quality patient service.
- Coordinate treatment plans with dental providers and patients, explaining procedures, financial options, and insurance coverage clearly to facilitate informed decision-making.
- Supervise staff members across administrative and clinical support roles, providing training, performance evaluations, and fostering a collaborative team environment.
- Oversee fiscal management tasks such as budgeting, billing, collections, and financial reporting to maintain practice profitability.
- Ensure compliance with HIPAA regulations, medical records management standards, and other healthcare laws to protect patient privacy and data security.
- Utilize dental practice management software like Eaglesoft or Dentrix for scheduling, billing, and record keeping; manage electronic health records (EHR) systems efficiently.
- Handle human resources functions including hiring, onboarding, staff development, and conflict resolution to maintain a motivated workforce.
- Maintain knowledge of medical terminology, insurance protocols including managed care and utilization management, and acute care procedures relevant to dental practice operations.
- Support clinic accreditation standards such as JCAHO requirements by implementing quality assurance protocols.
Qualifications
- Proven experience in medical office management within a dental or healthcare setting; prior dental office experience is highly preferred.
- Strong familiarity with dental practice management software such as Eaglesoft or Dentrix; experience with eClinicalWorks or Epic is advantageous.
- Demonstrated supervisory skills with the ability to lead diverse teams effectively in a fast-paced environment.
- Excellent understanding of fiscal management principles including budgeting, financial reporting, and revenue cycle management.
- Knowledge of HIPAA regulations, medical records handling, and healthcare compliance standards.
- Experience in patient treatment coordination with strong communication skills for explaining procedures and financial options clearly.
