Responsibilities
- Manage the daily operations of the dental office, including scheduling, patient flow, and staff coordination to ensure optimal productivity and patient satisfaction.
- Oversee fiscal management tasks such as budgeting, financial reporting, billing, and collections to maintain practice profitability.
- Coordinate treatment plans with patients by explaining procedures, financing options, and insurance benefits clearly and confidently.
- Supervise administrative staff, including training, performance evaluations, and human resources functions to promote a cohesive team environment.
- Utilize dental practice management software such as Eaglesoft or Dentrix to schedule appointments, manage electronic health records (EHR systems), and process patient information efficiently.
- Ensure compliance with HIPAA regulations and maintain the confidentiality of medical records and patient data at all times.
- Collaborate with clinical staff to support medical management activities related to acute care or specialized dental procedures.
- Monitor insurance claims processing and managed care interactions to optimize reimbursements and reduce denials.
- Implement office policies aligned with healthcare standards such as JCAHO accreditation requirements and OSHA regulations.
- Support onboarding of new patients by providing excellent medical administrative support and guiding them through financial arrangements.
Experience
- Proven experience managing a dental or medical office with a strong understanding of dental clinic operations and healthcare management principles.
- Demonstrated supervisory experience leading administrative or clinical teams within a healthcare setting.
- Extensive knowledge of dental practice management software such as Eaglesoft or Dentrix; familiarity with EMR (Electronic Medical Records) systems like Epic or eClinicalWorks is highly desirable.
- Strong background in fiscal management including budgeting, financial reporting, billing, coding, and collections within a healthcare environment.
- Experience working with medical terminology, medical records management, HIPAA compliance, and healthcare regulations such as JCAHO standards.
- Prior clinic experience in acute care or hospital settings is advantageous; veterinary or managed care experience can be beneficial but is not required.
