We are seeking an energetic and detail-oriented Front Desk Receptionist/treatment coordinator to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring smooth daily operations at the front desk. Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems efficiently, directing calls accurately and courteously.
- Verify PPO and HMO insurance, handle incoming emails, messages, and inquiries with clarity and professionalism.
- Maintain organized front desk areas, including filing, data entry, and document proofreading.
- Go over treatment plans with patients, schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools.
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
- Provide exceptional customer support by addressing questions or concerns with patience and professionalism.
- Assist with clerical duties like typing reports, maintaining records, and ensuring accurate data entry.
- Uphold excellent phone etiquette while managing busy front desk operations in a fast-paced environment.
- Support additional administrative tasks as needed to ensure seamless office functioning.
Experience
- Prior office experience or administrative support roles preferred; experience as a receptionist or personal assistant is a plus.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills.
- Familiarity with multi-line phone systems and office management procedures is highly desirable.
- Must be bilingual in English and Spanish to effectively communicate with diverse clients and team members.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette.
- Experience in clerical tasks such as proofreading, filing, and calendar management enhances your suitability for this role.
