The Dental Operations Manager at Reno-Sparks Indian Colony will play a crucial role in overseeing back office operations under the guidance of the Dental Director. This position involves evaluating and supervising daily tasks, along with providing backup coverage in the dental department as needed. Responsibilities include the procurement and maintenance of dental equipment, ensuring effective use of the Electronic Dental Record system, and pre-authorizing eligible dental treatments.
The incumbent will manage all orthodontic referrals and invoicing, securing the necessary purchase orders from administration for timely payments. Acting as a liaison to the Billing Department, the Dental Operations Manager will also handle documentation for insurance claims and resolve any denials. Knowledge and skills required for the position are:

Efficient supervision, coordination, operations and oversight of Back Office Personnel under the supervision of Dental Director.

Coordination daily, weekly, monthly assignment of Back Office Personnel with providers including working with hygienists and scheduling of other duties.

Interpreting personnel policies and procedures relating to Back Office Personnel.

Hiring, reviewing, disciplining and rewarding Back Office Personnel under the supervision of Dental Director.

Coordinating and directing training of dental assistants, dental assistant students and dental sterile tech.

Requiring, modeling and maintaining excellent patient care service standards for all dental auxiliary staff.

Ensuring that all dental staff fulfill their periodic/annual training requirements due on a rotating basis including BLS, Fire safety, HIPAA, infection control competencies and continuing education for licensure.

Monitoring, ordering as well as inventory control of all dental supplies needed.

Maintaining and controlling equipment, maintenance and repair logs for clinic ensuring timely repair of all dental equipment.

Coordinating with vendors and procurement for equipment service and replacement

Reporting and monitoring staff hours worked and submitting time sheets to the payroll department.

Collaborate with clinical staff to ensure proper use of the EDR system.

Monitor dental assistant and dental sterile tech staff to ensure integrity and security of patient records in compliance with regulations (e.g, HIPAA)

Train dental staff on EDR system features and updates.

Provide technical support for dental department technologies with support from IT.

Train staff in new software and equipment.

Maintain documentation of equipment, software and maintenance activities.

Lead or assist in planning and implementing new technology or system upgrades.

Coordinate logistics for new equipment installations or technology projects.

Reconcile outside dental lab statements, invoices and payments.

Complete performance and conduct reviews for all dental assistant and dental sterile tech staff.
Minimum Qualifications:

Education: High School Diploma or GED is required; an associate or bachelor’s degree in business or healthcare administration preferred.

Experience: At least 1-3 years in dental office management, administration or a related role (like dental assistant/receptionist) is usually required.

Software Skills: Proficiency with dental practice management software (e.g.

Dentrix) and Microsoft Office Suite (Excel, Outlook).

Dental Knowledge: Understanding of dental terminology, procedures and insurance/billing protocols.

Soft Skills: Excellent communication (written/verbal), leadership, organization, problem-solving and customer service.
