Dental Office Manager
Private Dental Practice | Clearwater, FL | Full-Time
Salary: $65,000–$75,000+ (commensurate with experience, plus performance bonuses)
About Us
We are a privately owned, fee-for-service general dental practice in Clearwater, Florida. We pride ourselves on delivering high-quality, relationship-driven care without the constraints of insurance-dictated treatment. Our small, close-knit team operates Monday through Thursday in a modern office environment with advanced technology including CBCT imaging, digital scanning, and a fully integrated practice management system.
The Role
We’re looking for a seasoned dental office manager who can take full ownership of the business side of our practice. This isn’t a front desk position with an upgraded title—we need someone who thinks like a practice administrator, drives results, and brings leadership to the team. You’ll report directly to the owner-doctor and have real autonomy to shape how the office runs.
What You’ll Own
Revenue Cycle & Collections
- Manage the full revenue cycle: treatment presentation, financial arrangements, insurance coordination, AR follow-up, and collections
- Monitor accounts receivable aging and maintain a collections rate of 98%+ on completed treatment
- Present treatment plans with confidence, close cases, and handle patient financial conversations
Scheduling & Production
- Own the schedule: optimize provider and hygiene columns for maximum daily production
- Minimize open time through strategic block booking, same-day treatment, and proactive recall management
- Track key metrics (production, collections, case acceptance, new patients) and report weekly to the doctor
Team Leadership & Operations
- Lead and develop the front office and coordinate with clinical staff on daily workflow
- Build and maintain SOPs for all administrative processes
- Manage onboarding, training, and accountability for administrative team members
- Coordinate with vendors, labs, and service providers
Patient Experience & Growth
- Ensure every patient touchpoint—from first call to follow-up—reflects a premium, fee-for-service experience
- Support marketing efforts including Google reviews, social media coordination, and community outreach
- Manage new patient onboarding flow and track conversion from inquiry to scheduled appointment
What We’re Looking For
Must-Haves
- 3+ years of dental office management experience in a general dentistry practice
- Demonstrated track record of improving collections, production, or case acceptance
- Proficiency with dental practice management software (OpenDental experience is a strong plus)
- Comfort presenting treatment plans and discussing finances directly with patients
- Strong organizational skills with the ability to manage multiple priorities without dropping balls
- Professional, composed demeanor—you’re the calm center when things get hectic
Nice-to-Haves
- Experience in a fee-for-service or limited-insurance practice model
- Familiarity with dental marketing (Google Ads, social media, patient review management)
- Experience with membership plan administration
- Comfort with technology: Microsoft 365, digital workflows, reporting dashboards
- Knowledge of dental insurance verification, coding, and claims (even in a FFS practice, we coordinate benefits)
Compensation & Benefits
- Base salary: $65,000–$75,000+ depending on experience and qualifications
